Membership Meeting Minutes

November 11,2002

Madam President Kathy Paavola called the meeting to order. Roll call was taken. Bert Hokanen, Jeff Hinz, Dick Lang, Diana Saenger, Gail Murphy were absent.

ANNOUNCEMENTS-

Fire Station Open House and there was a good turn out. Elections are over and Kathy will be a council member. Greg Hunter is our new mayor. Tim Landborg is also a council member.

SECRETARY'S REPORT-

The minutes were read. Bonnie Harvey asked that there be a correction to the minutes from October 14,2002. Bonnie did not have a problem with the letter that was written but with the East Bethel council minutes and what ensued at that meeting. Dawn Frandrup made a motion to accept the minutes as read. Marge Barrett seconded the motion. Motion Passed.

TREASURER'S REPORT - Marlene Collen

Copies of the report were available. As of 10/31/02: checking = $1241.27, mission savings = $31,403.41, mission checking = $1472.45, bank loan balance = 24,386.87 Bonnie Harvey asked if the community center had paid it's portion of the ball park fence project. Marlene said we had paid them $2000.00, which was what we owed. A question was asked how much the total fence was. Kathy did not have an exact total but estimated it to be between $8,000 to $10,000. Bonnie Harvey asked that the minutes reflect that we have paid the City of East Bethel, $2000.00 for the ball park fence. Marge Barrett made a motion to accept the Treasurer's report subject to audit. Bonnie Harvey seconded the motion. Motion passed.

GAMBLING REPORT - Marge Barrett

Need to make a correction. On the gambling manager's agenda the monthly report should be October not August.

For the month of September, gross receipts = $44,342.00, net receipts = $8685.00, cash long/short = $34.00 short, net profit = 2,468.28.

Larry Porter from VFW said that our shortages in our booth are awesome for our community. Which means that our shortages are small.

Allowable expenses for December and January

Rent: $1,000

Payroll/compensation: $2,500-$3,500

Ben's Wholesale (pulltabs): $2,000-$3,000

Cleaning at bar: $100

Marge's phone fax: $23.40

MN Dept. of Revenue: $42.50

 

New Market (meat raffles): $1,000

Terry Porter (Computer update & advisory): $100

Dawn Frandrup made a motion to accept the allowable and lawful expenses subject to audit for October and November. Marlene Collen seconded. Motion Passed.

As for the 45/55 we were in the hole last month $2533.70. This month because we wrote checks for the convention we were short $411.42. We are getting into our busy months with the snowmobiler's etc. and with our suspension we lost a lot and hopefully get better. The check register balance for October was $18,998.10. Reports were available for viewing. Full copies of the monthly report were available also.

Bonnie asked about the $5000.00 for Jeanie if that came into play in October and Marge said it did. SENIOR REPORT - none

We do not have a lot going on for them. Looking for volunteers. Have not heard from Ed Nelson about the Lion's Christmas party.

YOUTH COMMITTEE

Tara reported that the Halloween party seemed to be a success. There were 103 kids that attended the party. ( 0-4 yr.- 32, 5-8 yr.- 28, 9-13 yrs-19, and 14 &up- 24) Had positive feedback from families. George asked the final cost. Marlene had paid $624.98, Tara bought necklaces and candy for $148.92, and Kathy did not have the food amount. We did end up running out of food. There was $106 donated on Halloween night.

The date for the Teen Dance is December 7th and the Children's will be tentatively for December 14th. Kathy would like to have the older kids decorate for Christmas and also check the shed for decorations. Tara will talk to Trudy & Michelle about the kid's decorating.

DOCK COMMITTEE - none OLD/NEW BUSINESS

Bonnie Harvey would like to hold a Parent Alliance Meeting at the clubhouse in conjunction with Youth Services of Forest Lake, sometime in January. Kathy said it would be at no cost to them. The cost to have them come would be $10 per family. Would like to know if the Clubhouse could kick in part of that fee for families. Can talk more about it next meeting. Kathy will put it on the agenda to talk about it at next month's meeting.

We had no rentals in October but have two for November. One in December for sure.

Chris from Connexus has not got a hold of Kathy regarding the monitors, tapes, and telephone lines. One question was about the telephone line and he said we would have to go under blacktop and that would cost more.   We don't need to get an expensive monitor but we need one to view tapes. The tapes will be a better grade of tape. The monitor will be in the room rather than the actual TV. We need the power box in there also to run the equipment.

Christmas party will be discussed at a later date. Teen party will be December 7th and the Kid's party will on December 14th.

The Lions will be having a fishing contest weather permitting. We can do another one and Kathy will check on liability. Marge will be talking with Mike Hill from the Coon Lake Tap and Grill about the contest. We need more help for our 45/55. When we did Jeanie's benefit we made an extra $3000.00 in that month. The contest would be an excellent way for us to raise money. We would have a raffle and prizes that would come out of gambling and go back to gambling. Will depend on lake conditions also. After the contest the prizes will be given out at the bar. Kathy suggested a pancake breakfast that morning. Bonnie said we could announce the meat raffle at the lake also. Marge suggested getting good prizes also. Bonnie also suggested having the meat raffle later than usual or after the fishing contest.

Kathy has talked to someone about snowplowing. He is willing to do it for the seniors. Shoveling is also a concern. Not sure if he is willing to do it but maybe the kids? Is there a liability issue? Kathy will check into it.

For a January fundraiser we are thinking of the Fishing contest, pancake breakfast and possibly a soup and chili night/day. We will be looking for something because we need to pay the loan off.

Dance floor needs to be addressed. Possibly stripped and sanded. Would be nice to have it done before the dance. Jim Fagin will be called and Bonnie said Dave's Floor Sanding could give a bid.

Tara would like to see the blackboard replaced with a whiteboard. They are about $100 at Office Max. The blackboard will not be thrown out, as it is a piece of Clubhouse history. Bonnie Harvey made a motion to buy a new whiteboard and Marge Barrett seconded. Motion passed.

George Paavola said that Mike Hill was interested in a joint venture to come up with a new sign for the clubhouse, the bar and the store. Discussion ensued. Mike was going to come up with 3 designs from someone he knows. Kathy wants a good size sign, as our current sign is large. Discussion ensued about vandalism of the Coon Lake Tap & Grill signs.    Discussion ensued about who owns the land where the signs are. Questions were raised if our sign would then be vandalized. Going to explore the cost issues and talk more with Mike Hill.
