Membership Meeting Minutes June 10,2002

Madam President Kathy Paavola called the meeting to order. Roll call was taken. Virginia Swanson, Diana Saenger, and Dick Lang were absent.

secretary's report

The minutes were read. Jeff Hintz made a correction regarding road repair: The whole corner by the fire station was taken care of, but Lakeshore road will not be paved now (it was ground up); paving will have to wait. Also, Jeff Hintz did not suggest endorsing Amy Bodnar at the last meeting; he just introduced her. Danny's brother, Monty, called the building inspector about Jeanie's porch, not Danny. Jeff Hintz made a motion to accept the corrected minutes. Marge seconded the motion. Motion passed.

treasurer's report - marlene collen

Copies of the report were available. As of 5/31/02: checking = $1,893.31, mission savings = $27,681.28, mission checking = $369.61. $1,181.95 has been paid toward the $28,000 bank loan. The current balance of the loan is $26,818.05, but it does not reflect an extra $856 that was paid towards it in the week previous to the meeting. Jeff Hintz reiterated that the community should apply as much money as possible towards the principal of the loan. George Paavola said that money should be put into the general fund first. The principle of both ideas (to pay down the loan) was the same.

Income for the month of May was $2,055.75. Income from the last two pancake breakfasts was great, and we took in more than we spent.

Quite a bit of money has come in for dock memberships renewals.

Penny Berens made a motion to accept the Treasurer's report subject to audit. Tara Nelson seconded the motion. Motion passed.

gambling report - marge barrett

Jeanie received a very touching card from Alice Jacobs, along with a gift of money.

For the month of April: Gross receipts = $61,558.00. Net receipts = $16,445.00. Cash was $94 ahead (most likely due to unredeemed tickets)! Net profit was $4,206.94.88.

Explanation of $415.91 on line 4 of the Tax Credit for Exempt Raffles form:

$715.91-Meat raffle

-300.00 - donation from New Market for meat raffle $415.91

479.66 - Minnesota Department of Revenue tax credit

-415.91

$ 63.75 - Normal MDR expense that we have to pay once the computer software is updated to account for the tax credit

Because we're exempt, we can get a refund. Other places that have raffles would typically have to pay more. The report is not yet signed because of the computer glitch, but it will be once the glitch is fixed. The 45/55 will also be off because of the $300 donation. See Marge for a more detailed explanation.

Checkbook balance: $27,825.94.

Jim D. (accountant) resubmitted several years' worth of information, and we received $1,270 back. We received refunds from form 940 of 2001 and form 990T of 2000.

Bert Hokkanen made a motion to accept the allowable expenses for June and July. Marlene Collen seconded the motion and the motion passed.

Gaming news for the month talked about an embezzlement case. senior committee - none youth committee

Crystal said that the group rate for Valleyfair is cheaper this year. Sunday through Friday is $18.00 per person. Saturday is $18.50 per person. The normal price is $31.95, so it's a good deal. She didn't contact the bus company yet, but in the past, it has been $800 for two buses. In the past, we paid for food and bus transportation for the adults, but not their tickets. If 90 people attended the cost would be approximately:

Several ideas were discussed regarding the kids: We could lower the price for work that they do around the community. If they don't have help, they would have to pay $10, which is still a good deal. Nothing is set in stone yet. There will have to be a deadline date. Someone suggested delaying the trip until August to allow the kids more time to work. Signs need to be posted. The kids need to be given assignment, such as picking thistles out of the playground.

dock committee report

Dock renewals are down to 31 that still need to be renewed. Reminders will be sent out tomorrow and people will have two more weeks to pay.

Dock Issue (Marlys vs. Jim Sobin)

There's a conflict regarding dock space between Marlys and Jim Sobin. Marlys and her husband have had their dock space for 4 years. Jim Sobin showed them a map and says that they are on his property. Two years ago, Jim Sobin put his dock in Marlys' spot, and then moved it back. They are harassed every year. Marlys' and her husband have always paid their dock dues, and Jim has supposedly not paid. At one point, Jim had the city dump garbage in the corner by the lake. Marlys had to call a city engineer and it was removed. This year, dirt from street sweeping was dumped on Schumaker's land. There have also been problems with Jim Sobin's outhouse. According to Minnesota Pollution Control, a complaint should be filed with the city, and if the city doesn't take care of it, the state should. There have been multiple, consistent problems, and Marlys and her husband would like some help from the community or the dock committee to resolve the issue. The dock committee will look into finding accurate maps and dealing with the issue, along with figuring out exactly who owns what in the community.   Jeff Hintz will also be checking to see if the city owns the easement.

rental report - kathy paavola

Rentals are going great. There are two rentals scheduled for the month.   A sign should be put up at the channel for pancake breakfasts and rental information. Jeff will look into it.

old/new business

Greg Fahrendorf will not be volunteering to mow the clubhouse lawn. In an emergency, Kathy knows someone who can mow the lawn.

Community clean-up day will be postponed until the spring.

Jeanie Gesino posted a letter in the newsletter thanking everyone for their support. She apologizes if she forgot anyone. A letter will also be posted in the "Forest Lake Times" as a thank you to the larger community. Kathy will also be sending a thank-you to New Market for their donation.

Clubhouse upkeep: Kathy is still working on getting the air conditioners leveled outf^he also found out that there should be a vent in the furnace room going out the north wall for fife safety. She will call the furnace guy (Tom) to see if he can do it. Kathy is working on getting new dishes, trays, and bowls.

Pig Roast: Penny has the band set up and the pig (200 - 225 Ibs.) has been ordered. Doug and Tara will be putting on a horseshoe tournament, which could begin early, but food won't be served until 4:30 p.m. The tournament will cost $10 per person. Anything left over will be donated. Last years pig wasn't completely done, so we may need to cook this year's pig longer. The bakery charges $1 per dozen for buns. Kathy will order enough for 720 sandwiches. There should be a separate meeting to discuss pig roast details.

Clubhouse kitchen: The large mixer is extremely hard and time consuming to clean. Nobody likes it. A new one of the same style costs $3600 with the table, so Kathy is going to try selling it for $3000. A smaller one will then be purchased. Kathy will check with Cisco and Superior Products. Jeff made a motion to sell the mixer. Mike seconded the motion. Motion passed.

There was no further information on sweatshirts and new designs.

There will be a community garage sale on June 15th. It can't be held at the clubhouse because there is a rental. There may be hotdogs at the Coon Lake Market. Kathy will look into getting a permit for selling hotdogs and chips. Jeff said he would have someone call her.

Senior citizens need to get more involved! There needs to be a larger variety of activities for both seniors and the kids.

We are nearing the end of our fiscal year, and Marge is thinking about transferring $10 - $15 thousand from the gambling account into the mission savings account. More information will be available at future meetings.

Tara is looking for additions to the newsletter. The deadline for submissions to the next issue is July 20th.

I accidentally switched the recorder to "voice activated" mode, which means that much of the meeting was not caught on tape (not loud enough to activate the recorder).
