July 15th, 2003

Madam Vice President Bert Hokkanen called the meeting to order.  Roll call was taken. jefl'Flinz, Dick Lang, Diana Saenger, and Gnil Murphv were absent.

Marge Barren mode a motion 'to accept flic minutes as read  Penny Kerens seconded the motion. Motion Passed

Discussion ensued about \vhethcr the July 16"1 meeting had enough board of directors and officers to have a legitimate meeting and what consisted of a quorum.  Discussion of what the purpose of an alternate is.  Ben said \\e would have seven board of directors rather than calling them alternates. Kathy said the bviaws need to be clarified    Discussion ensued about whether \ve have a quorum tonight.   It was discussed and there are seven officers tonight.   Laura said that there are seven board members and for sonic season two have been called alternates and they are voted in officers.

TREASURER'S REPORT - Marlcnc Collen

Copies of the report were available,  As of 06/30/03: checking :  $1946.44, mission savings :--:: $27.752.39, mission checking = $1591.29.  The loan balancels $22,742.86. We received^ 178.00 in interest in the second quarter. We have also taken in more money than paid out in our general account this year.

Laura Slonikcr ntade a motion to pay $450.00 on the loan rather than the usual SJ/9.00 since the < hecking account is over SI500.00.   ]'erna 11 ndorjf seconded the motion. Motion passed

Marge Barren made a motion to accept the treasurer's report subject to and!?.   Penny Berens seconded the motion.  Motion passed.

We had to send a check to the state of Minnesota for $3 12.00 for license fees oued thiough 4/30/03.

45/55 - In the Minnesota Department of Revenue reserve column we are minus $3091.6!. Marge is going to check into the figures to make sure that it ss correct.

Our lease is up in March and the new km \\ill go into effect saving that we will only pav 10% of our net receipts for rent    l:oi example if we net $(>X72 then our rent will be 'K>K7.   Discussion ensued about the new law.

Marlene CoIIen made a motion to aeeept the allowable, expenses subject to audit for A July & August, liert Hokkanen seconded.  Motion Passed.

The check register balance for end of June is $27,077.00. Marge would like to transfer another $12,000 into the mission savings account.

**Dick apologized sasing that there was enough for a meeting.   Dick said thai Mike i fains is on the board of directors and not an alternate.   Ber! said we will have to call them all board members for a total of seven. ,

Tara Nelson made a motion to transfer $12,000.00 from gambling to the mission savings account  iMiira Sloniker seconded.  Motion Passed,

SENIOR REPORT    None '     '

YOUTH COMMITTEE-    Kalhv has hvn approached aboui the \ allevfnir tiip    Man.u; thinks we should go ahead seeing as there has been kids working already   We should pav for the bus ride and for the ticket to get in and not for the food.  Marlene said it cost $900 for bus, $2549 for tickets/food, and we were reimbursed $276 from adults that went.  If there is a hardship, we will pay for their food.

Marlene CoIIen made a motion pay for the Kid's has ride and (he admission info I'alleyfair, provided they have put there volunteering time in.  Marge Rurrctt seconded.  Motion Passed.

DOCK COMMITTEE -   We have the books.  People need dock spaces.  The book needs to be gone through.   Bert, Verna, and Mike Harris will look into it and get it organized.

RENTAE REPORT-  two this month and four in June.

OLD BUSINESS

Mark Allbrd will he painting the dining room for $992.00.  The bid includes the paint, tilling in holes, and removing what needs to be removed and painting the wood trim hv ceiling.  The con! rack will he removed and a bulletin boaid could be put up   Mark will give a hid !o seal the wood around the windows,   (ieoige wants the Hast coat rack removed so people don'! huH themselves.   Kathv wants the South coat rack removed.   Discussion ensued.

Tara made a morion 1o approve S992 for painting the dining room awl pining him

half np front and half upon completion, and to keep him on standby for any further work. Marge Barren seconded. Motion Passes.

George Paavola made a motion to remove the Hast eoaf rack.  Marlene ('olleu seconded.  Motion Passed.

Pig roast is Aumist 161', the band will plav from I to 8 p.m.   Discussion to pav the band $S!;0 more ensued.

Tara Kelson made the motion to pay S3 5^ lo the hand to play at the pig roost.  ,1 large Barren seconded. Motion Passed.

The dinner prices will be raised to $8.00 for adults and $4.00 for children 12 and under    Kafhv is ordering 70 pounds scallop potatoes/ham, a 275 pound pig, .>5 pounds corn, 10 gallons beans, 50 do/en buns, donuts, and variety of pop, 3 kegs.  Marge will call Alice Jacobs about having, puiiiubs that day. We can sell tickets ahead of time.  Dinner will be served from 5 to 7 p.m.  Marlene will check on advertising in the papers.  Tara will do up some fivers   Marlene will make up the tickets    The horseshoe tourney will start approx. 2 p.m.

East Bethel is working on the sitting park. The city wants to know if Marlene or Linda could go to a park meeting.  We will pay for the flowers that will go in the park and benches. Marlene said their garden club could divide perennials.  Marlene doesn't think flowers will be a big expense   There are three trees that are being suggested to plant    Marlene Collcn will go to the park commr!tec lo discuss the park    Dick asked about the 2 1/2 acres In (he park, il'the Volunteers of America had donated it. Kathy said it had been done    The city wants a dollar amount that we will be giving for the park   .Kathv thinks the city has the notion that we don't contribute to the city.  Marlene said we paid $580 for the dumpster, and we paid for the fence.  Bert said v\c are maintaining our building   Marlene sends them the copy of the mission account to show them what we are spending the monies on.  Kathv said tiiev want $5000 for landscaping our property.  Kathv got a figure for $1 1,000 to landscape.  KiUhv said no way, we have more pressing issues to spend our money.  We need a new roof, siding, etc.  We will wait for a dollar amount until Marlene comes back from park meeting

Eagle Scout is requesting money for his project at Booster Park, a fishing pier behind en -, hall.

A grill was donated; it just needs the connection which will cost appox.   $1().()0.  We can use it or sell it.

Berf made a motion that we spend 5M. 00 on a connector for the gas grill,   Ltnn-a Sloniker seconded.  Motion Passed.

NEW D( Si MISS

August 18'" is the annual meeting   'Die letters need to go out ten days prior to Hie meeting, by August ()"   Uert will stuffand stamp envelopes. George has list of people   Tara will do the labels if George gives Kara this list   Dick and George say the bylaws say the annual meeting is on the last Saturday of the monih, \vhich is Labor Day weekend   Discussion ensued   Kalhy read from the b\la\\s August 2000 the meeting will be held on third Monday or" August.  Dick has a different copy of by laws. iVIarlene clarified the bylaws. .

Laura suggests the bylaws be updated, reviewed, and corrected. Then copies are distributed.

A notice must go out in \\riting and mailed of the proposed amendment to the articles of incorporation clarilying the issuance ol'dock spaces, clarify the sergeant at arms, that we are gnmg to rewrite and clarijy bylaws.

We will be taking nominations Irom the floor. Each person has to have his or her card to vote. We will accept proxy votes.  It lias to have name, card /?, and who is authorized to vote. George explained voting procedures   IVlarlene suggested (hat v\e put section b in the letter. The alternates are not in the bvlaws. only S board members, and no alternates.

Marge said we never got our 2002 reiund. They said we did not submit the lorm to claim it.  We will get $1486.24 in the mail and should help our 45/5$
